A preventive maintenance dashboard that keeps planned work on time

Preventive maintenance only works when it actually gets done. Brilliqs builds the dashboard that shows which PM tasks are due, which are overdue and how much work is waiting, so your maintenance team runs to a plan instead of chasing the next breakdown.

  • PM compliance by asset, line and crew
  • Overdue and upcoming tasks in one due list
  • Maintenance backlog sized in hours, not guesses

Overview

Turn a PM calendar into work that actually gets done

Most plants have a preventive maintenance plan. It lives in a CMMS, a spreadsheet or a wall chart, and on paper every critical asset is covered. The trouble is what happens between the plan and the floor. Tasks slip when production is busy, work orders close without the job being done and nobody can say how far behind the team really is until a machine fails.

A preventive maintenance dashboard closes that gap. It reads your PM schedule and your work orders, then shows what is due this week, what is overdue and how much planned work is piling up in the backlog. Maintenance Managers see compliance by asset and by crew, and Plant Directors see whether the plan is being kept or quietly abandoned.

Brilliqs builds this around the maintenance system you already run. We connect your work order data, agree how compliance is measured with your team and design views that answer the questions asked in every maintenance meeting. It sits within our suite of manufacturing dashboards. The stops that PM is meant to prevent are captured by machine downtime monitoring, where failure trends such as MTBF and MTTR show whether the plan is paying off, while the OEE dashboard shows the effect on Availability.

The problem

Why preventive maintenance plans drift off course

Few plants lack a PM plan. What they lack is a clear view of whether the plan is being followed. These are the gaps a preventive maintenance dashboard closes.

Compliance is reported once a month

Someone exports work orders, counts what closed on time and builds a chart for the monthly review. By then the overdue tasks have already turned into breakdowns.

Overdue work hides in the system

Tasks pushed back for production sit in a long list nobody opens. Critical assets drift past their service interval without anyone noticing until they fail.

The backlog has no real size

Ask how far behind maintenance is and you get a count of open orders. That says nothing about the hours of work waiting or the crew needed to clear it.

Reactive work crowds out planned work

Every breakdown pulls technicians off scheduled PM, which causes more breakdowns. Without a planned versus reactive split, the cycle stays invisible.

What it does

What your preventive maintenance dashboard does

Each view answers one question a maintenance leader asks every week. Here is what sits at the core of the dashboard Brilliqs builds.

01

PM compliance measured the same way every time

The dashboard compares completed PM tasks against what was scheduled and counts only work finished inside the agreed window. Compliance shows by asset, line, crew and task type, so a weak area cannot hide inside a healthy plant average.

  • Scheduled versus completed PM tasks per period
  • On time completion inside an agreed tolerance window
  • Compliance split by asset criticality and crew
  • Trend of PM compliance over weeks and months
02

A maintenance schedule view with a live due list

The maintenance schedule dashboard shows every PM task due today, this week and next, alongside what is already overdue. Planners see the load ahead and can line up people, parts and machine time before the work falls due.

  • Due, upcoming and overdue tasks on one list
  • Calendar and time based tasks next to usage based ones
  • Days overdue and asset criticality on each task
  • Spare parts readiness flagged for upcoming work
03

Backlog and workload sized in hours

The maintenance backlog dashboard turns open work orders into estimated labor hours and weeks of crew capacity. You see whether the backlog is growing or shrinking and which trade or area is falling behind.

  • Open work measured in estimated hours
  • Backlog in weeks of available crew capacity
  • Ageing of open orders by priority
  • Planned versus reactive work ratio over time
Built in

Features that keep planned maintenance on track

Practical capabilities that make the dashboard part of the weekly maintenance routine, not another report to ignore.

PM compliance score

On time completion of planned tasks per asset, line and crew, recalculated as work orders close.

Overdue task alerts

A signal when a critical asset passes its service due date, sent to the planner and the area supervisor.

Weekly due list

Every PM task due in the coming days, sorted by criticality so the most important work is scheduled first.

Backlog in crew weeks

Open work converted into hours and weeks of capacity, so you know how far behind the team really is.

Planned versus reactive split

The share of maintenance hours spent on planned work against breakdown response, tracked over time.

Spare parts readiness

Upcoming tasks checked against parts on hand, so a job is not scheduled only to stall for a missing part.

Business impact

What a preventive maintenance dashboard changes

The goal is not a higher compliance number for its own sake. It is a plant where planned work happens and surprises get rarer.

On time

PM work done when due

Overdue tasks are visible the day they slip, so critical assets get serviced before the interval runs out.

Smaller

A backlog you can manage

Measuring open work in hours shows when to add capacity or reprioritize before the list gets out of hand.

More planned

Less firefighting

As planned work rises in the mix, fewer technicians get pulled off schedule by breakdowns.

Fewer

Failures between services

Assets that are serviced on time fail less often between intervals, which shows up as longer runs between stops.

How we roll it out

How Brilliqs sets up your preventive maintenance dashboard

A clear path from first conversation to a live compliance view your maintenance team trusts. Your CMMS stays in place.

01

Agree the rules

We work with your maintenance leads to define what counts as on time, which assets are critical and how backlog hours are estimated.

02

Connect the work orders

We pull PM schedules, work orders and labor records from your CMMS or EAM, and add spare parts data where it is available.

03

Build the views

We design the compliance score, the due list and the backlog view around your areas and crews, then refine them with your planners.

04

Launch and refine

We start with one area or asset group, train the team to run the weekly meeting from the dashboard, then extend across the plant.

What it measures

The measures your preventive maintenance dashboard tracks

A PM program is only as good as the measures that tell you it is working. These are the signals we surface most often.

Compliance and schedule

  • PM compliance as tasks completed on time over tasks scheduled
  • Schedule compliance by crew and by week
  • Overdue PM tasks and days past due
  • Tasks due in the next one to four weeks

Backlog and workload

  • Open work orders in estimated labor hours
  • Backlog in weeks of crew capacity
  • Ageing of open orders by priority
  • Deferred PM tasks and the reason they moved

Program health

  • Planned versus reactive maintenance hours
  • Share of critical assets covered by a PM plan
  • Spare parts available for upcoming tasks
  • Breakdowns on assets with overdue PM
Where it fits

Where a preventive maintenance dashboard earns its keep

The same view supports very different jobs across maintenance and production. A few of the ways teams put it to work.

The weekly maintenance meeting

Planners and supervisors open the due list and the overdue view together, agree what gets done this week and assign owners. The next meeting starts with what closed and what slipped.

  • Due and overdue tasks reviewed in one place
  • Work assigned by crew and priority
  • Slipped tasks tracked to a reason

Protecting critical assets

Reliability engineers filter the dashboard to the assets that would stop the plant if they failed. Any overdue task on those machines is escalated before the interval runs out.

  • Criticality ranking applied to every task
  • Escalation for overdue work on critical assets
  • Coverage checks for assets with no PM plan

Agreeing machine time with production

PM needs the machine stopped. The dashboard shows upcoming work so maintenance and production can book the window together, and the production planning dashboard reserves that time in the schedule.

  • Upcoming PM windows shared with planners
  • Fewer tasks deferred for production pressure
  • Deferrals logged with an owner and a new date

Sizing the maintenance team

When the backlog keeps growing, the dashboard shows by how many hours and in which trade. Leaders can make the case for overtime, contractors or new hires on real numbers.

  • Backlog trend in crew weeks
  • Workload split by trade and area
  • Capacity decisions backed by data
Before and after

Connected data

Built on the maintenance systems you already run

You do not need a new CMMS to see your PM program clearly. Brilliqs reads PM schedules, work orders and labor records from the maintenance system you already use, whether that is SAP PM, IBM Maximo, another CMMS or EAM, or a well kept spreadsheet. Where usage based tasks depend on run hours or cycle counts, we take those from your machines.

We bring the data together, apply your compliance rules and calculate every measure in one reliable place. Because our roots are in data engineering, the numbers stay consistent as you add assets, areas and sites. Run hours and utilization for usage based PM come from the same source as the machine performance dashboard, so both views always agree.

A real scenario

The compliance number that looked fine

A short example of how the same maintenance month reads with and without a proper breakdown.

Say a plant reports PM compliance in the high eighties for the month. On a monthly slide that looks healthy, and the maintenance review moves on. Yet two packaging lines have had more breakdowns than usual, and nobody can connect the two facts.

On the preventive maintenance dashboard the same month splits open. Compliance is strong on low priority assets with simple tasks, but the critical fillers on those two lines have several lubrication and inspection tasks sitting overdue, each deferred for production and never rebooked. The plant average hid the very assets that mattered most.

The team escalates the overdue tasks, books machine time with production for the following week and adds a rule that critical PM cannot be deferred without a new date. Over the next quarter, machine downtime monitoring shows the stops on those fillers falling and the run time between failures stretching out.

Questions, answered

Preventive maintenance dashboard questions

Straight answers to what maintenance and operations teams ask before they start.

What is a preventive maintenance dashboard?

It is a live view of your planned maintenance program. It shows which PM tasks are due, which are overdue, how much work is in the backlog and what share of planned tasks were completed on time, by asset, line and crew, so your team can keep the plan on track.

How is PM compliance calculated?

PM compliance is the number of preventive tasks completed within their agreed window divided by the number scheduled in the period. We agree the window with your team, for example a set number of days around the due date, so late work is not counted as compliant.

What should a maintenance backlog dashboard show?

It should show open work in estimated labor hours, not just a count of orders, and convert that into weeks of crew capacity. Ageing by priority and a trend over time then show whether the backlog is under control or growing.

How is this different from a downtime monitoring system?

A preventive maintenance dashboard looks forward at planned work and whether it gets done. A downtime monitoring system looks at the stops that already happened and why. The two work together. Downtime monitoring tracks failure trends such as MTBF and MTTR, and those trends show whether your PM program is reducing breakdowns.

Does it replace our CMMS?

No. Your CMMS or EAM stays the system where work orders are created and closed. The dashboard reads that data, applies your compliance rules and presents it so planners and managers can act on it quickly.

Can it handle usage based maintenance as well as calendar based?

Yes. Calendar tasks come from your PM schedule, and usage based tasks can be triggered from run hours or cycle counts read from your machines. Both appear on the same due list.

How long does it take to go live?

Most plants see a first area live within a few weeks. We start with one asset group to prove the measures, then roll out across the plant at a pace that suits your maintenance team.
